Job Details (SENIOR PERSONAL SECRETARY /SENIOR PERSONAL SECRETARY [SPECIAL GRADE] )

Applications are invited from suitably, qualified, serving Public Officers in      Ministries/Departments/Agencies and Local Governments to fill vacant posts.  Applications   should be filled not later than Friday 29/3/2019. Applicants should visit   https://vacancies.psc.go.ug/ors  to apply.

a)        Apply ON-LINE.

b)        Scan, attach and submit On-line recent passport size photograph and relevant documents (O’ Level, A’ Level, Degree and Professional Documents, copies of letters of appointment, confirmation and promotion).

c)         Each attachment must not exceed a limit of 1MB and only portable documents format (PDF) is allowed.

d)        The passport should be less than 150KB and in the standard image formats i.e. JPGE, PNG or JPG.

e)        Print an Extract of PS Form 3 (2008) and obtain recommendation from the Responsible Officer.  Scan the recommendation together with the rest of the documents and submit online.

f)        Select a Job from the list of Advertised Jobs.

g)       View the Job Details and Click Apply now.

h)       Review your application and SUBMIT.  Once submitted, applications cannot be edited or withdrawn.

Minimum Qualification
Applicants should be Ugandans holding: EITHER Honours Bachelor’s Degree in Secretarial Studies (B.SES) or its equivalent from a recognized University. Applicants should have Computer skills using several packages such as word processing, spreadsheets and database Management. Applicants should a minimum of three (3) years working experience at the level of Personal Secretary (Special Grade) or equivalent level of experience from a reputable organization. OR 1) Ordinary level certificate with at least two (2) credits including English Language and 3 passes; 2) UNEB Certificate or Diploma in Secretarial Studies or equivalent qualifications from a recognized institution with the following subjects: - Business Communication Stage II - Typewriting Stage III (50 wpm) - Shorthand Stage II (80/90 wpm) - Office Practice Stage II/Secretarial Duties II Applicants should have Computer skills using several packages such as word processing package, spreadsheets and database Management.
Working Experience
Applicants should have served for a minimum of three (3) years working experience at the level of Personal Secretary or equivalent level of experience level of experience from a reputable organisation.
Duties
The incumbent will be responsible to the Principal Personal Secretary for performing the following duties:-

-       In conjunction with relevant Officers, drawing up and monitoring programmes, activities and appointments;

-       Taking dictation,  accurately transcribing it and error free work;

-       Receiving incoming mail and supervising the dispatch of outgoing mail;

-       Organizing meetings and conveying decisions of such meetings to the relevant officers/offices;

-       Ensuring that the relevant documents for meetings and  speeches are produced on time and properly organised;

-       Ensuring cleanliness and orderliness of office.

-       Managing records in accordance with established security and records management procedures;

-       Requisitioning and managing office stationery and equipment.

-       Drafting letters of routine nature;

-       Any other duties as may be assigned from time to time.
